Belbot Services is seeking a part-time reliable, organized, and proactive Office Assistant to support our daily operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys staying organized, and takes initiative in keeping both office and field operations running smoothly.

Key Responsibilities

Office & Administrative Support

Answer incoming calls and direct them to the appropriate team members

Create customer tickets and document requests when staff are unavailable

Manage calendars and assist with meeting/appointment preparation

Monitor and organize emails, flagging important items requiring attention

Pull and prepare paperwork for upcoming weekly routes

Technology & Equipment Management

Monitor employee phones to ensure daily syncing while crews are in the field

Inspect phone cases and numbers; clean or replace as needed

Inventory & Supply Management

Track office inventory and maintain stock levels

Prepare shopping lists, obtain approvals, and complete purchases (e.g., Costco, Amazon)

Maintain and organize the apparel closet, including inventory tracking and order prep

Coordinate apparel drop-offs and pickups with vendors

Marketing & Advertising Support

Assist with social media content (job site visits, photo capture, and scheduled posts)

Maintain flyer distribution systems and coordinate seasonal flyer orders

Determine quantities

Obtain quotes

Place and pick up orders

Event & Employee Engagement Coordination

Assist in planning seasonal company events

Source venues and gather quotes

Coordinate employee and vendor gift lists

Prepare holiday cards and customer mailing lists

Additional Duties

Reorganize and maintain office filing systems

Coordinate lunch orders as needed

Fill water jugs on a weekly/bi-weekly basis

Qualifications

Strong organizational and multitasking skills

Excellent communication and customer service abilities

Ability to take initiative and work independently

Proficient with basic office software and technology

Comfortable running errands and handling light physical tasks

Preferred (but not required)

Experience in an administrative or office support role

Familiarity with social media scheduling tools

Experience working in a service-based or landscaping company
