Job Description

Our client, a leading financial services firm, is seeking a polished and proactive Administrative Assistant to provide high-level support to senior leaders and executives within a fast-paced corporate environment. This role requires exceptional organization, professionalism, and discretion, along with the ability to manage multiple priorities and complex logistics seamlessly. The ideal candidate will serve as a trusted partner to key stakeholders, helping to drive efficient day-to-day operations while delivering a high standard of administrative and client support.

**Please note this is an onsite, 6-month contract role based in San Francisco, CA. Pay will be $45/hr.**

Key Responsibilities:

  • Provide high-level administrative support to senior leaders and executives within a fast-paced environment.
  • Manage complex calendars, prioritize scheduling requests, and coordinate meeting logistics across multiple time zones.
  • Coordinate internal and external meetings, conference calls, and communications with professionalism and discretion.
  • Handle a high volume of phone calls and correspondence while interacting effectively with senior business stakeholders and clients.
  • Arrange domestic and international travel, including itineraries, accommodations, and expense report processing.
  • Prepare, edit, and distribute correspondence, presentations, reports, and other business documents.
  • Support onboarding, employee transitions, and offboarding processes.
  • Maintain knowledge of company policies and independently manage routine administrative matters.
  • Process invoices, coordinate payments, and assist with budget-related administrative tasks.
  • Organize and ship materials to clients and respond promptly to client inquiries and requests.
  • Assist with office operations, including supply management, inventory upkeep, filing, archiving, and general administrative support.
  • Contribute to team projects, events, and additional ad hoc administrative initiatives as needed.

Qualifications:

  • 3+ years of administrative support experience, preferably supporting senior leaders or executives.
  • Excellent verbal and written communication skills with strong interpersonal abilities.
  • Exceptional organizational skills with a high level of attention to detail and accuracy.
  • Ability to manage multiple priorities, adapt quickly, and perform effectively in a deadline-driven environment.
  • Proven ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong problem-solving skills with the ability to work independently and proactively anticipate needs.
  • Demonstrated dependability, sound judgment, and a strong sense of urgency.
  • Comfortable interacting with individuals at all levels of an organization.
  • Ability to remain composed and professional in high-pressure situations.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Positive, collaborative attitude with a strong team-oriented mindset.
  • High degree of integrity, professionalism, and confidentiality required.
